The concert schedule form can be used to provide St John's with more information regarding a booking you have made or to request a quote. Please read the General Information for Concert Promoters thoroughly before completing this Schedule. All prices are listed net of VAT which will be added.

Performers' Details

If you are not authorised to operate this system, you must apply to the Foreign Entertainers’ Unit of the Inland Revenue to secure a reduction or exemption from payment of this tax.  Please read the relevant paragraph (“Withholding tax for non-residents”) on page 2 of the General Information for full details.

Programme Application Form/PRS Form

Programme applications are dealt with in order of receipt after the contract has been signed.  In the event of any of the works below being scheduled for performance at St. John's within three weeks of the date of your concert, St. John's reserves the right to rule a change of programme. Programmes are only registered on receipt of this form. Most concerts at St. John’s are covered under the terms of the LC Licence agreement with PRS. Programmes containing copyright works are subject to a 4.8% (plus VAT) charge on net box office income which will be charged on the final settlement for each concert.

Please supply full titles, opus numbers and timings (essential) and details of the publishers as well as the editor or arranger of each work.
 

CONCERTS MUST END BY 10pm. 

All instruments must be removed by no later than half an hour after the end of the performance when the hall will be locked.
A charge of £100 will be made for every half hour used after the official lock up time. 

IMAGE(S) for brochure and website: Please send a high-resolution JPEG/JPEGS to [email protected] by the deadline of this concert schedule. Inclusion of photographs in the brochure is subject to the sole discretion of SJSS.

Please list in row order, including unreserved side seats and please state whether offering concessions (NUS, Senior Citizens, UB40s). Please list individual ticket prices and concession prices/discounts (do not simply write ‘price structure A/B/C or ‘same as last year/time’ etc).

COMPLIMENTARY/PRESS TICKETS will be sent to you unless specified.

Please indicate how many pairs of complimentary tickets (maximum 13 pairs commission free) and  press tickets (maximum 8 pairs commission free) you require.

If you wish to close the Crypt to the public for a private post-concert function, this information must appear in St John's monthly concert diary. There is a penalty for closing the crypt if it is subsequently not used for a private function.

Technical Schedule

(NB see General Information as to numbers that fit on the stage – if exceeding recommended numbers PLEASE DISCUSS ASAP with the Adminstration Department - St John’s does not have staff to remove and replace seating to accommodate large forces – this can only be undertaken if the promoter provides the manpower)

PLEASE LIST ANY INSTRUMENTS/EQUIPMENT TO BE DELIVERED

Delivery and collection of all equipment pertaining to the concert takes place on the day of the concert from 9am unless previously agreed with St John's. The hall has no storage facilities, so all items must be removed immediately at the end of the concert. 

REHEARSAL TIMES  (3 hour rehearsal on the concert day. Access maximum 1 hour in advance - not before 9am. 
Extra rehearsal time by arrangement with St John's £100 per hour)

Rehearsals must finish and the hall cleared by one hour before the concert start time.  (NB. If using the piano rehearsals must  finish by 1½ hours before the concert start time).

If YES, Smart Arts Solutions  will contact you about four weeks before your concert in order to propose a schedule and with a proof of the wording.

(Children must be adequately supervised by adults at all times).

All requests for special technical facilities must be submitted to St John’s in writing at least three months before the concert date.

**You will need to submit a stage plan showing the position of the candles in relation to the performers in order for Westminster Licensing to give approval. No candles allowed in the auditorium.

***Any scenery or large props must be fire-proofed. A full specification of scenery/special effects must be submitted with this schedule as it will need approval from Westminster City Council. Failure to do this will preclude its use in performance.
St. John’s will apply for the appropriate licences/approvals above based on the information provided.
